Traceability

Pick a bag. We will tell you which plot it came from.

That is the test buyers actually run, and it is the one most suppliers fail. Four records resolve from one lot code, in under five minutes, on a day nobody prepared for.

No advance notice required beyond arranging transport.

Traceability

One code, four records

The lot code is printed on the physical bag, not only held in a system. That matters when the power is out and an auditor is standing in your warehouse.

Example lotAG-CD-14B-2411-07 · MSKU-449182
  1. 1

    Plot

Plot 14B, Cau Dat estate — variety, altitude, soil analysis, and input records.

  2. 2

    Harvest

Pass 2 of 3, picked 18 November — pickers, weight, and moisture at intake.

  3. 3

    Processing

    Batch WD-2411-07 — washed, fermented 36 h, dried to 12.5% over 14 days.

  4. 4

    Export

Container MSKU-449182 — sealed 04 February, phytosanitary certificate attached.

Why most suppliers cannot do this

Blending is cheaper, right up until someone asks

Keeping lots separate through drying, hulling, grading, and packing costs throughput and floor space. Blending recovers both, which is why it is the industry default.

The cost only appears when a buyer asks which plot a specific bag came from, or when a residue result comes back and the affected volume cannot be bounded. At that point a blended supply chain has no answer, and the recall is the whole shipment.

We took the throughput hit. It is the single most expensive decision in the division and the one that wins the audits.

  • Separate drying beds per harvest pass
  • Line cleaned and recorded between lots
  • Lot code carried on the physical bag
  • Mock recall resolved in under 40 minutes, twice tested

Chain of custody

Where each record is created

Records are written at the point of work, not reconstructed afterwards. That is the difference an experienced auditor can see.

  1. 1

    Plantation

Plots mapped and soil-tested annually. Variety, planting date, and input records held per plot, not per farm.

    Duration
    Year-round
    Deliverable
    Plot record and soil analysis
  2. 2

    Harvest

Selective picking in three passes so only ripe fruit enters the lot. Each pass is logged against its plot.

    Duration
    Oct–Feb
    Deliverable
    Harvest lot with plot lineage
  3. 3

    Processing

Washing, fermentation, drying, and hulling on our own line — no third-party processing, so the chain stays unbroken.

    Duration
    12–18 days
    Deliverable
    Processed lot with batch record
  4. 4

    Quality control

Moisture, defect count, screen size, and cupping on every lot. Results attach to the lot code, not to a shipment average.

    Duration
    2 days per lot
    Deliverable
    Lab report per lot
  5. 5

    Packing & export

Packed to your specification, sealed, and documented. Container number joins the same lot code before it leaves.

    Duration
    3–5 days
    Deliverable
    Sealed container with document set

For your QA team

Verify it yourself

Buyers running TraceFlow get read-only access to the verification portal, so your QA team can check a bag against our records without calling us.

For buyers not on the portal, any lot code emailed to quality@aureus-group.example is answered with the full record within one business day. We do not treat that as a support burden; it is the product.

We audited four Vietnamese suppliers that year. Aureus was the only one who could show us the plot a specific bag came from, on the spot, without preparing for the visit.

FAQ

Questions about traceability

Still have questions?

Ask an engineer directly. No sales sequence.

How fast can you resolve a lot code?

Under five minutes for the plot, harvest pass, processing batch, and container. That is the test we invite auditors to run unannounced, and it is the number we would want to check on a supplier ourselves.

What happens if a residue result comes back positive at our end?

Send us the lot code. We bound the affected volume to the plots and harvest passes it came from — usually a few tonnes rather than the whole shipment — and we share our own lab record for the same lot. A blended supply chain cannot do that, which is why the recall is always the full container.

Do you use blockchain for this?

No, and we are sceptical of suppliers who say they do. A shared ledger solves disputes between parties who do not trust each other. Your problem is whether our records are accurate, and a ledger does not make an inaccurate record true.

Can we audit the records without visiting?

Yes. Email any lot code and we return the full record within one business day, or you get portal access if you are running volume with us.

Next step

Test it on a real lot.

Request a sample and it arrives with its lot code. Email us the code and see how long the answer takes.

Ships within five working days with its lot code and lab report.
